FUNCTION DESCRIPTION

JOB TITLE: RECEPTIONIST

REPORTING TO: General Manager

LOCATION: Bellville / Tyger Valley area

PURPOSE OF FUNCTION

A special ambience must be created in order to practice this vision. Our visitors need be taken special care of. In the case of property owners they need to be made comfortable and know that they are at a place of safety. The receptionist has a natural ability to build good relationships and to exceed hospitality expectations. Our clients and stakeholders are all held in very high regard. We need to establish that environment to anyone visiting our office. This function is in many instances the first contact with the clientele of Property Assist. This is the basic function that the candidate needs to perform.

KEY ROLES AND RESPONSIBILITIES

The candidate must welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries. Directs visitors by maintaining employee and department directories; giving instructions. Maintains security by following procedures; monitoring logbook; issuing visitor badges etc.

The position also entails that the receptionists must conduct certain functions beyond establishing the comfort of visitors. It entails the following:

Liaising with municipality for municipal accounts

Communication with Maintenance stakeholders

Liaise with contractors

See to the needs of all clients

General office work

Providing staff support

Assist colleagues with obtaining their respective purposes

Provide administrative support

APPLICANT SPECIFICATION

Knowledge, Skills, Experience

Computer literate/keyboard skills
A relationship builder
Property Knowledge and qualifications an advantage
At least 3 years working within the Receptionist Environment
Excellent telephone skills
High degree of accuracy
Demonstrated ability to prioritize issues Intellectual Demands
Must be able to deal with enquiries regarding product information
Skills with People
Ability to build strong working relationships (internal/external)
Excellent communication skills – verbal and written
Disposition/Personality
Determined
Enthusiastic
Team Worker
Reliable
Sociable

Self-motivated
Achievement orientated
Ability to use own initiative
