Purpose of the position
The successful applicant will provide comprehensive human resources administrative service to the site managers, line managers and HR Team to ensure accurate and complete record keeping for all employees.
Main Job Tasks, Duties and Responsibilities
1. Recruitment Administration
Source, screen and place suitable candidates for positions as per program budgetary requirements
Schedule interviews and participate on interview panels when required
Collate interview scores and compile panel recommendations for approval by line managers
Send interview feedback to candidates
Conduct reference checks
Draft offer of employment letters and contracts
Ensure all relevant information is loaded and maintained on the relevant human resource information system (HRIS)
Update recruitment status reports
Complete documentation relating to transfers, promotions, etc.
Ensure all recruitment policies and procedures are always adhered to
2. Employee Relations
Assist the employee relations specialist with queries and employee relations administration
3. Performance Management
Ensure job descriptions are issued, signed and filed
Issue probationary evaluation documents and ensure discussions are held
Assist the HR practitioners with capturing of performance review ratings
Ensure performance review documents are filed
4. Other duties
Draft contract extension letters
Assist with administration relating to changes to personal information
Issue confirmation of employment letters on request
Liaise with office and program administrators for all HR documentation
Collect and submit payroll related information and inputs within the stipulated timeframe
Education and Experience
Diploma in Human Resources Management or related qualification
Minimum of 3 years’ experience as an HR administrator or general HR assistant
Must have intermediate level proficiency in Microsoft Office
Communicate fluently in English and Afrikaans
Valid driver’s license
Clear criminal record
Key Skills and Competencies
Sage People/VIP HR Premier or related HR System
Experience with HR databases and HRIS systems
Excel and PowerPoint
Excellent organisational and administration skills
Excellent analytical ability
Very good attention to detail
Very good time management
Excellent communication, interpersonal and conflict resolution skills
Ability to work ethically, with a high level of integrity
Good business acumen
