Dagboekbestuur van die Senior Direkteur: KGD. Dit sluit indie verspreiding van amptelike kommunikasie, die reël van afsprake en die direkte skakeling met relevante US kollegas en eksterne vennote;
Onderhou van ‘n kantoor kalender om werksvloei en vergaderings te koördineer;
Opstel van agendas en die neem van notules tydens gesprekke of vergaderings wanneer nodig;
Die tref van reisreëlings, insluitend verblyf- en vervoerbesprekings soos van tyd tot tyd benodig vir die Senior Direkteur en ander personeel van KGD;
Algemene bestuur van die kantoor: Dit sluit in die aankoop van goedere, die versorging van die kantoor en die bestuur van administratiewe personeel;
Verwerking van finansiële rekwisissies in oorleg met die Afdeling Finansiële Dienste;
Direkte skakeling met afdelingshoofde en administratiewe personeel binne die Afdelings wat aan die Senior Direkteur: KGD rapporteer;
Data insameling en voorbereiding benodig vir amptelike rapportering en aanbiedings;
Deelname aan institusionele aktiwiteite wat waarde toevoeg tot die dienslewering van KGD;
Ontwikkeling en implementering van toepaslike en innoverende prosesse wat dienslewering verbeter en effektiewe kantoor bestuur verseker;
Ontvangs van gaste en besoekers (insluitend geskeduleerde pasiente) by die kantoor van die Senior Direkteur: KGD;
Opstel van programme vir besoekers of gaste (plaaslik en internasionaal) van KGD;
Ontwikkeling en instandhouding van akkurate en toepaslike databasisse;
Kontrole en monitering van begrotingskostepunte;
Opstel en versorging van verslae en ander dokumentasie vanuit die kantoor van die Senior Direkteur: KGD en binne die groter verantwoordelikheidsentrum, soos van tyd tot tyd benodig;
Hantering en toepaslike verwysing van roetine-navrae aandie Senior Direkteur: KGD;
Die reël van funksies en ander amptelike geleenthede vir die kantoor van die Senior Direkteur en KGD.

Managing the diary of the Senior Director: Campus Health Service. This also includes the distribution of official communication,arranging meetings and direct liaising with relevant SU colleagues and external partners;
Maintaining the office calendar to coordinate workflow and meetings;
Preparing agendas and taking minutes during talks or meetings as necessary from time to time;
Scheduling travel arrangements, including board and lodging and transport bookings as needed from time to time for the Senior Director and other staff of CHS;
General management of the office, including purchasing of goods, taking care of the office and managing administrative staff;
Processing financial requisitions in collaboration with the Finance Division;
Direct liaising with departmental heads and administrative staff within the Divisions reporting to the Senior Director: CHS;
Collecting and preparing data required for official reporting and presentations;
Participating in institutional activities that add value to service delivery of CHS;
Developing and implementing applicable and innovative processes to improve on continuous service delivery and to improve efficient office management;
Receiving guests and visitors (including scheduled patients) at the office of the Senior Director: CHS;
Compiling itineraries for visitors or guests (local and international) of CHS;
Developing and maintaining accurate and applicable databases;
Controlling and monitoring specific budget cost center(s)expenditure;
Drafting and maintaining reports and other documentation from the office of the Senior Director: CHS and within the bigger Responsibility Centre, as needed from time to time;
Handling and applicable referring of routine enquiries to the Senior Director: CHS;
Organising functions and other official occasions for the office of the Senior Director and CHS.

Toepaslike na-skoolse kwalifikasie;
Ten minste vyf jaar sekretariële ervaring;
‘n Geldige rybewys;
Voortreflike mondelinge en skriftelike kommunikasievaardighede;
Uitstekende interpersoonlike vaardighede;
Vermoë om op gepaste wyse met persone op bestuurs- en ande rvlakke binne en buite die US te skakel;
Bewese hoë-vlak rekenaarvaardigheid in die Microsoft Office pakket (insluitend Word, Excel, PowerPoint, SharePoint, OneDrive en OneNote);
Selfstandigheid en akkuraatheid met taak uitvoerings;
Uitstekende administratiewe en algemene kantoorvaardighede;
Hoëvlak-organisasie vaardighede met bewese vermoë om te kan prioritiseer;
Vermoë om akkuraat en effektief onder druk te kan werk.

A relevant post-matric qualification;
At least five years’ secretarial experience;
A valid driver’s licence;
Exceptional verbal and written communication skills;
Excellent interpersonal skills;
Ability to liaise with persons at management and other levels in and outside SU;
High-level computer literacy in Microsoft Office packet(including Word, Excel, PowerPoint, SharePoint, OneDrive and OneNote);
Independence and accuracy with the execution of tasks;
Exceptional administrative and general office skills;
High-level organizational skills, with proven ability to prioritize;
Ability to work accurately and effectively under pressure.

Vorige ervaring as persoonlike assistent;
Bedrewe in ‘n etniese of derde taal;
Ervaring in die gebruik van die US se finansiële stelsel en prosesse.

Previous experience as a personal assistant;
Proficiency in an ethnic or third language;
Familiar with the use of SU’s financial system and processes.
