To provide an effective and efficient administrative and secretarial support service to managers and a team.

Strategic Impact

Deal with day-to-day matters on behalf of senior managers/team to allow their focus to be on achievement of strategic objectives
Make judgements that relate to common queries without reference to management

Liaise with clients / external staff on behalf of superiors as directed
Attend to client requests as directed by management
Build a rapport with client staff / external providers
Operational Effectiveness

Liaise with management regarding the setting of meetings, prioritisation, etc.
As directed, source documents/information required for meetings and maintain a record of these for reference
Filter general information, queries, phone calls, emails, and refer on to relevant individuals where appropriate
Respond to email/mail directly where possible and prepares correspondence for signature as needed
Maintain confidentiality of work matters
Liaise with internal staff and external providers on the provision of required services on request i.e. IT, event management, marketing services, etc.
Coordinate travel bookings and itineraries, both local and international
Draft and format documents and presentations for review as directed by directors and team.
Development/Growth of Team

Remain updated on issues relating to the Service Area
Focus on own development areas
Budgets / Profitability

Plan travel, events, etc. within strict guidelines of business
Draft accurate record of invoices/PR’s and submit these timeously
Effectively use time, equipment and resources

Qualifications

Secretarial Diploma with 3 plus years’ experience in a secretarial role within professional services or related environment.

Experience supporting multiple stakeholders and teams.
