Personal assistant

The Role (A starting annual total cost to company package of R489 082.96, negotiable commensurate with experience)

(Please note this position is available on a five year fixed term contract)

The Competition Commission is seeking to recruit a dynamic, hard-working and committed individual to fill the position of Personal Assistant in the Market Conduct Division. The job requires applicants to have a need to achieve results in a logical manner, whilst at the same time maintaining quality and ensuring that standards are met. The job calls for a person who is capable of communicating effectively to others, be consistent, adaptable, precise, careful, self-starting, inquisitive, friendly and confident.

Skills & Experience
We are looking for a dynamic, hardworking and a committed individual who meets the following requirements:

A 3 year diploma in Office Management or equivalent qualification
3 years secretarial experience at executive level and be able to work as part of a team, with minimum supervision, under pressure and have strong administrative background and good organizational skills and abilities.
Computer literacy, effective communication and interpersonal skills are necessary requirements.
When required, be willing to work extra hours

Key Accountabilities
The main responsibilities of the incumbent will, inter alia, include:

To administer the office of the Divisional Manager.
Deal with clients and the general public in a courteous and professional manner.
Attend to the accurate and timely typing of correspondence.
File all documents and correspondence.
Attend to telephone enquiries, faxing, emailing, copying and dispatching of correspondence & documents and the proper recording of these in appropriate registers.
Convene various meetings on behalf of the Divisional Manager with internal & external stakeholders.
Coordinate the Divisional Manager’s schedule & keep him informed of diary commitments.
Identify urgent matters that need to be brought to the attention of the Divisional Manager and track deadlines
Arrange local & overseas travel for the Divisional Manager.
Assist with the arrangements for attendance of conferences by Divisional Manager
Prepare all documentation for the Divisional Manager.
Interact with other divisions in relation to document management and administration
Prepare the Divisional Manager’s presentations
Taking minutes at meetings.
