Hotel Reservationist Required – Reporting to the Front Office Manager

Basic Training:
Higher education degree specialized in hospitality or tourism. Past experience in reservations or front office.
Skills and capabilities:
– Is fluent in several foreign languages include that of the country and English;

DUTIES:
The Reservationist is responsible for reservations made by guests in all their forms: by telephone, online, fax, mail or in person. He/she thereby handles reservations and related operations (guest confirmation, updating schedules, communication with other hotel departments, etc.), and the aim is to develop and optimize the sale of rooms in accordance with the targets set by Management. He/she liaises with the hotel’s internal departments (reception, sales, catering) and with the distribution intermediaries (IDS, GDS, travel agencies, tour operators, etc.). Depending on the establishment, he/she may also have the role of banquet coordinator.
R E S P O N S I B I L I T I E S:
Customer relationship:
– Gives a personalized and warm welcome;
– Quickly identifies news guests and adapts the sales pitch accordingly;
– Meets guests’ needs, informs them of the services on offer, proposes an adapted response;
– Knows the establishments geographical and competitive landscape;
– Conveys the ONOMO brand image, both through their presentation as well as their attitude and professionalism.
Service / Sales:
– Receives and processes any reservation request from customers by telephone, email or via the sales department;
– Handles sales by telephone, fax, mail, online and creates customer loyalty;
– Promotes the hotel’s various services in order to boost sales;
– Applies the pricing policy, maximizes the occupancy and average price according to the period and the hotel’s capacity;
– Drafts the offers, monitors the extras, records confirmations and manages the mail necessary in that regard. Guarantees the reliability and quality of the reservation for the guest (confirmation, data entries);
– Proposes a response adapted to the needs of the guest, while accounting for the options offered by the various departments of the hotel;
– Practises up-selling in order to maximise the turnover;
– Strives to provide a quality welcome on the telephone and respects all of the standards set out by the hotel;
– Processes the reservations on the PMS system. Fills out the guest files;
– Takes guests’ bank details and a booking deposit if necessary, particularity for groups (including seminars and banquets);
– Processes modifications and manages cancellations;
– Provides correct answers to guest general hotel information inquiries in a timely manner, e.g. room rates, hotel services, banquet and seminar offers, opening hours and catering, seasonal products and all other special events;
– Works in collaboration with reception for special requests from future arrivals;
– Works in collaboration with catering in his/her role as coordinator of banquets and seminars;
– Discusses and sets the prices with the Revenue Manager and the Hotel Manager according tothe occupancy rate;
– Enters the prices set daily into the system for the different types of rooms, guests and reservations;
– Does competitor research and always keeps en eyes on competitors’ situations;
– Helps prepare the budget according to the expected occupancy rate, the season, events: checks that the budget is attainable, ensure that the goals set are realistic and achievable.

– Ensures the cleanliness and the tidying of their workspace, in whether visible to customers or not;
– Strives to save energy, water, and paper in his/her position and in the common spaces.
