You will be the right hand to the CEO, therefore, the highest level of integrity, ability to remain professional, apply the strictest levels of confidentiality and be able to work independently with limited supervision is a pre-requisite for this role. The incumbent’s duties will include but not be limited to: call screening; diary/time management; travel arrangements; preparing high-level presentations and board packs; assisting with communications with foreign and local clients for the Office Of The CEO.
Screen all communications directed to the CEO
Diary and time management
Manage travel bookings and schedules for CEO and the rest of the Head Office divisions
Prepare and update a portfolio of high-level presentations
Co-ordinate, collate and keep accurate records of board report packs
Assist in managing projects and communication liaisons with local and foreign clients
Co-ordinate administrative, financial and operational activities affecting the Office Of The CEO
Manage and control the administration, financial and operational activities of the Office Of The CEO
Handle communications on behalf of the CEO and Directors including daily maintenance of digital diary
Arrange / accept / decline / escalate meetings and telephone calls to relevant stakeholders
Type and ensure meeting agendas are presented to the CEO prior to meetings
Type minutes and track agendas outcomes by following up with participants on meeting outcomes’ progress
Update and print meeting and board report documents, design covers
Daily Reconciliation of Third Party Fund Account
Resolve day-to-day ad-hoc queries regarding Third-Party Fund Account
Monitor of unallocated funds as well as the allocation thereof
Track of expenditure against budgets
Assist with preparation for audits
QUALIFICATIONS & EXPERIENCE
Matric
Relevant Tertiary Qualification
At least 1 years’ experience in a PA role / Administrative role
Suitable experience in the Financial Services industry will be highly beneficial
