Job Description:
Responsible for planning, optimizing and executing local travel arrangements, flights, hotels, car hire, visa’s, etc. and ensuring that costs are within budget allocations.
Provide comprehensive administrative, secretarial and communications support.
Co-ordinate and delegate tasks and manage the feedback process and deadlines on a daily basis to ensure efficient workflow.
Accountable for ensuring that purchase orders and invoices correspond and follow up with orders and/or errors on invoices before submitting for payment.
Responsible for scheduling and coordinating meetings in advance and ensuring that necessary documentation is distributed prior to meetings.
Telephone management and visitor welcome.
Management and purchasing of office supplies and refreshments.
Ensure all important documents and relevant information is filed on the shared drive
Manage printers, copiers, VC facility, telephone and internet lines are maintained and operational.
Petty cash management.
Office management.
Implement and manage Health and Safety Procedure for the company.
Management of leave applications and leave schedule.
Requirements:
3 years’ experience as an Executive Personal Assistant.
Must be energetic and punctual.
Good communication and customer service skills.
Good typing skills, as well as proficiency in grammar, spelling, and writing.
Good administration skills and organizational skills.
Work independently, exercise good judgment and take initiative.
