A permanent position exists within the Fixed Assets Valuations Department for a secretary at the IDC Head Office, reporting to the Head: FAV Department.
PURPOSE: Responsible for providing secretarial and administrative support to the team.
RESPONSIBILITIES
Providing secretarial support and general administrative function to the Head of the department and team members
Receiving, directing and relaying telephone messages and follow up with team members to ensure that telephone messages been actioned
Managing the Head of the department’s diary
Arranging and managing meetings or events as well as the supporting logistics
Maintaining the general filing system and file all correspondence, as well as maintaining electronic filing on the shared electronic filing portals such as Docupedia, SharePoint amongst others
Making travel arrangements and processing claims for the Head and team members (as required)
Assisting and facilitating the onboarding of new staff members joining the team
Maintaining an updated contact list for the department
Maintaining workflow (pipeline) management in collaboration with team members and report progress to the Head
Issuing requests for ratings of service rendered (Swift ratings) to internal clients including maintaining the swift ratings of the workflow
Assisting and facilitating the processing of invoices for payment including maintaining the supporting records and report on progress to the relevant stakeholders (as required)
Assisting and providing Deed’s searches to internal clients as required
Facilitating maintenance of office equipment
Attending to all related Fixed Asset Valuations client queries
Providing efficient customer service to internal and external customers
Assisting the department with the secretariat services relating to the various departmental meeting:
planning, preparation, and coordination of documents for meetings
take a record of the discussions and circulate minutes timeously

KNOWLEDGE AND EXPERIENCE:
3 years of proven secretarial and administrative experience.
Knowledge of MS Word, PowerPoint, Excel, Outlook, Projects, Visio, SAP, and SharePoint.
QUALIFICATIONS:
Matric
Secretarial/Offices Administration Certificate/Diploma will be an added advantage
