Role: Supportive Role to Medical specialist

RESPONSIBILITIES:

Professional administrative and secretarial services to the medical specialist (employer)
Responsible for front and back office duties
Professional interaction with patients, visitors, other healthcare professionals, practices, hospital staff, and other institutions
Ability to perform treatments
Ability to independently manage practice efficiently
Devise protocols, work procedures, and systems where necessary to improve the practice functioning

Required knowledge and skills:

Knowledge of beauty treatments
Knowledge of accounting, data and administrative processes and principles
Ability to handle medical records discreetly and confidentially
Knowledge of medical issues and terminology
Confidence and credibility with the ability to articulate in a clear and concise manner
Medical office procedures
The legal implication in terms of medical office non-compliance
Office management
Medical practice software experience (preferable Vericlaim) – significantly advanced
Strong administrative and computer skills
Accurate and meticulous data capturing, record keeping and filling
Following practice protocols and procedures
Infection control knowledge and skills

Other Requirements

Professional, presentable, punctual, reliable
Efficient, honest and trustworthy
Salary depends on qualification (basic + 5% of treatments performed by the therapist)

Monthly bonus: Performance Review for the month is done on 2nd Wednesday of following month and bonus added to the current month’s salary

If no outstanding accounts for the month before
No errors in billing, patients booking, practice management overall
Performance is based on following: all patients invoiced correctly, invoices sent, receipts sent, no outstanding payments // stock ordered // office organized// all information is scanned/uploaded into patients’ files, patients’ registration forms are prepared before patients visit, appointments confirmed for the following week // financial spreadsheet submitted // Attendance and Participation in weekly practice meetings and monthly marketing meeting

DUTIES:

Administrative duties in the office and for Dr. Novikova
Monitoring e-mail/phone queries
Assistance on queries on products and services
Booking appointments
Delegating medical questions to Dr. Novikova and practice nurse
Billing – invoicing, receipting, emailing receipts to patients and making sure all invoices are paid immediately after the visit to the office or before the procedure for the hospital, following up outstanding invoices, Keeping a record of cash payments
Ordering stock
Organizing the office
Keeping the office tidy
Scanning/uploading information into patient’s files
Confirming appointments for the following week
Organizing bookings in an efficient way
Assisting with Emsella chair treatments
Performing Exellis Fema 360 vaginal treatments
Setting up for in-office procedures for Dr. Novikova
Assisting Dr. Novikova with in-office procedures

Participating in professional continuous professional development in the areas of your interest and practice requirements
Participating in weekly practice meetings
Presenting data on the number of referrals from which source
Working closely with staff in Dr. Novikova’s practice in Cape Town
Produce financial spreadsheets
Initiate improvement ideas

Hours: Monday – Friday 08H00-17H00 Saturdays 10:00-14:00

Leave 15 days per year

It’s a medical practice, therefore, occasional (rare in this practice) emergencies and extra hours are inevitable and will not accumulate into extra pay.
