MINIMUM REQUIREMENTS:
Matric
Secretarial Diploma (Advantageous)
MS Office
A minimum of three year’s experience as a Personal Assistant at an executive level
RESPONSIBILITIES:
Compiling of agenda
Collating the meeting packs which are circulated one week before meeting
The Agenda to be completed with: inputs obtained from all participants, all items covered, structured and reflecting priorities
All matters arising to be addressed according to due dates
The minutes and matters arising to be a true reflection of the meeting, with a minimum number of minor amendments required at acceptance
Minutes to be completed timeously with the first draft available within 3 days of the meeting and final minutes available within 7 days after meeting Circulation of minutes to be done and all relevant parties to receive minutes Conferences, workshops and forums
Venues need to be assessed to confirm if they meet the required standards
Upon evaluation, the appropriate venue is selected with costs being within budget and to reflect good value for money
Venue prepared and all equipment to be set up 30 minutes before the commencement of the session
Notices need to be timeously issued to participants and should be issued within 2 days of receiving notification
Completeness of materials to be done in time and circulated according to agreement
Dietary requirements to be according to predetermined requirements
Planning and arrangements to meet conference/workshop forum requirements and accommodate flexibility
Screen telephone calls
Management of diary
Typing of Word documents and PowerPoint presentations
Submission of cell phone claims
Ordering of stationery and office supplies Interface with Management and Staff
Appropriateness of access to Deputy CEO and Head of Business Operations
Suitable scheduling of meeting/appointments/interactions
Preparation and communication to all parties in advance
Professionalism of interaction
Staff
Interface with other Pa’s and Reception and communicating relevant info to senior managers via PA’s Travel Management (CEO & Marketing Executive)
Booking of travel according to the specified itinerary
Arranging of visa as and when required
Booking of accommodation and hotel transfers
Issuing of all travel documentation and itinerary prior to departure Office Administration
Filing of all documentation and information
Filing system set up to address current needs
Discard outdated documentation
Retrieve information to meet Deputy CEO and Head of Business Operations information requirements
To ensure that the Office is tidy and professional in appearance
