Personal Assistant / Administrator to the Director
Duties:
Administrative Duties
General PA duties
Some of the duties include:
Screening telephone calls enquiries and requests, and handling them when appropriate
Organizing and maintaining diaries, making appointments and ensuring the Director is well prepared for meetings.
Taking of minutes of sales meetings
Treating of all documentation with discretion and confidentiality
Arranging Telcon’s on the director’s behalf if required.
Handling all the filing of documentation as per the Director’s coding system
Controlling all leave forms for Directors management team
Preparing of reports on Excel as request
Need to know key personnel (both external and internal) and need to understand the organizations, aims and objectives Organizing events if and when required by a Director.
Devising and Maintaining office systems, including data management and filing;
Assist with Travel Claims for Managers;
Keeping to budgets and doing Variance Reports;
Assist regional managers with accommodation and travel where necessary;
Producing documents, briefing papers, reports, and presentations;
Ensuring that all Sales Decks insurance and Asset Registers are up to date;
Planning, organizing and managing events (Functions, Conferences);
Key Requirements:
Strong administration skills
MS Office – Mainly Excel, Word and Powerpoint
Previous work experience in a similar role
Organized and neat
People’s person – not scared of a telephone
Work well under pressure
Figure orientated and strong attention to detail
Able to work in a team environment
Punctual and reliable
Must be proficient in Afrikaans and English (read, write and speak)
Problem solver
Able to prioritize effectively
Excellent time management skills
Flexibility and adaptability.
Excellent communication skills
