Administration of Divisional undergraduate student training programme: Coordinating whole-class lectures and preparing lecture notes; managing student block rotations; administration of tests; dissertations and exams; processing marks.
Administration of Divisional postgraduate student training programme: assisting with orientation and registration of registrars; preparing annual academic programme, including SUNlearn; preparing examination papers and administration of examinations run in the Division, including SUNlearn duties; processing marks; preparing marks for submission to SU’s electronic platform; administration around MMed and PhD dissertations/theses;
Assisting with administration of Divisional workshops, congresses and meetings;
Managing Divisional CPD point allocation. Handling all CPD-activities, including annual attendance register, issuing of certificates and registration of application for the presentation of short courses;
Willingness and availability to work longer hours during workshops/congresses and exams;
Finance: responsible for, as directed by the Head of Division, quotations, orders, purchases and payments and financial management according to the University’s system; monthly printing of all the Division’s fund accounts and reconciliation with the Head of Division;
Arranging meetings and Divisional functions;
Maintaining the Division’s annual inventory;
Registering research outputs on the RA system;
Assisting with preparation and submissions of annual reports of the Division and annual research reports as required by the University;
Typing of minutes, reports and general correspondence for the Division; filing and scanning documents;
Liaising between the University and Tygerberg Hospital Administration;
College examinations: Typing theroster, liaising and organising with other departments; arranging refreshments when college exams take place at the University;
Acting as Secretary/Personal Assistant to the Head of Division: keeping electronic diaries; making travel arrangements; coordinating representatives and patients if necessary.
A relevant tertiary qualification;
More than two years relevant experience;
Excellent computer skills in MS Office, including Word, Excel, Outlook;
Excellent and accurate word processing skills;
Knowledge and experience of working in the tertiary education sector;
Good organisational abilities;
Attention to detail;
Excellent written and verbal communication skills in both Afrikaans and English;
The ability to prioritise effectively and work under pressure;
Good interpersonal relations;
Being able to work independently with minimal supervision.
Proficiency in a third language.
