Job Title: Admin Supervisor

Reports to: Branch Manager

Job Purpose:

The Administrative Supervisor is responsible for making sure that the admin department is a successful department within the company who contributes and supports the company.
This position supervises’ a variety of administrative support tasks for a work area

Responsibilities:

Provide office support services in order to ensure efficiency and effectiveness
Type the minutes or agendas for meetings
Preparing the meeting packs and distributes to the relevant members two days prior to the meeting
Attends, records, transcribes and distributes minutes of all relevant meetings
Transcribes formats, inputs, edits, retrieves, copies and transmits correspondence, documents, data and graphics
Records, date stamps and distributes all incoming mail
Compiles and maintain an up to date telephone directory of numbers and addresses
Files all correspondence
Updates the bulletin board by posting and removal of outdated materials
Ensures the Administrative Offices, Reception Area and boardrooms are kept organized
Relieving/ assisting with reception duties or task
Any other duties that may reasonably be required from you by the company
Interviewing candidates for all admin related positions
Responsible for monitoring the work of subordinates to ensure that work is completed timeously
Ultimately responsible for all administrative functions on the site
Performance reviews for all direct reports should be done biannually
Identifying training needs for admin staff and ensuring that training is obtained and recorded in the training register
Sourcing training schedules for technicians
Preparing a weekly/monthly report of branch happenings/problems and possible solutions submitting these to the

General Manager for his info and action:

Preparing service reports and submitting it to management before the deadlines
Assisting Human resources with outstanding documents of employees
Quoting for man on site and sending these quotes to the relevant people at Kumba and Kolomela mine
Monthly maintenance report
Receive and check technicians service report books & time sheet books
Manage and order of PPE for technicians on Kumba and Kolomela
Responsible for attendance register and that it get send to H.O
Responsible for cash sales money, keeping it, signing for it and banking it

COSTING:

Collection of data
Scan and capture service reports on system
Opening jobs on the system and booking out parts as well as booking out time, distance, consumables etc to jobs
Print costing sheets/job cards
Checking for errors, complete the required documentation to amend
Phoning for official orders where necessary
Checking and submitting overtime & standby monthly
Capture productivity sheets on excel
Processing of production orders where necessary and track until part is finalised and delivered to job
Typing quotations as and when required
Checking all job card’s against timesheets to ensure accurate times are spent on a job
Filing of invoices
Processing and invoicing orders
Ensuring orders are received, invoiced and sent to the respective mine for payment
Close deliveries when necessary
Attend to W.I .P
Processing warranty Claims
Invoicing completed jobs after they have been signed off
Any additional duties as required by the Company

Accountabilities:

Accountable for the successful completion of admin and filing
Certain administrative reports
Accountable for the minutes of all meetings

Education/Experience/Skills:

Matric
Computer Literate
Certificate in administration and or/supervisory
3 years’ experience in a similar environment with similar responsibilities (Must be adept in use of MS Office 2000 or later, particularly Excel and Word, Internet and email as well as excellent working knowledge of SAP and Valogix systems)
Exceptional Communication skills (Verbal and written)
Professional and presentable
Strong administration skills
