DOG SANCTUARY COORDINATOR VACANCY

Reports to: Sanctuary Manager

Direct Reports: Dog handlers / Dog Carers

Location: Philadelphia Farm, Cape Town, Western Cape

GENERAL ROLE DESCRIPTION

The Dog Sanctuary coordinator is responsible for the daily operations of the kennel and care of the animals kept under their supervision. In this role you will be responsible for providing managerial oversight for the daily care and behavioural enrichment for large numbers of rescued dogs. You are responsible for the management and supervision of all support staff.

You will regularly brief the Management team on sanctuary matters, and will provide timely advice, feedback and reports. This position is also responsible for ensuring maintenance of sanctuary facilities and equipment.

You are also required to oversee and/or assist with the organization, standardization and coordination of all operations, procedures, policies, and resource, to ensure effectiveness and efficiency of The Sanctuary.

ROLE RESPONSIBILITIES AND TYPICAL ACTIVITIES

Core Responsibilities & Typical Activities

Animal Management

Oversee and assist with all care activities for the dogs including (but not limited to)
Veterinary care needs
Integration schedules and plans for dogs
Medicine administration and record keeping
Lost, escaped, runaway or missing dogs
Oversee and assist with all exercise activities on and off site
Oversee and assist with all feeding and watering needs
Oversee and assist with all dog yard, dog run and kennel maintenance requirements
Oversee and assist with all behaviour observations and mitigate any behaviour issues
Manage and oversee all grouping of dogs based on behaviours, temperaments and interactions
Collect and collate information required for reporting purposes
Ensure continuous and ongoing health and wellbeing of all the dogs in the care of the Dog Sanctuary

Maintenance:

Manage, oversee and assist with all maintenance needs and repairs for the dog yards, dog runs, kennels and fences
Manage, oversee and assist with spraying yard with tick and flea spray
Manage, oversee and assist with maintaining clean and hygienic dog yards and kennels
Manage, oversee and assist with Mowing and weeding of all dog yards and dog runs
Construct/build new kennels, fences etc. required for optimal care of dogs

Operations:

Manage and oversee onsite security emergency needs when alarms are activated
Be available to open buildings for interior checks by armed response officers, after an alarm activation, if so required
Manage, carry out and oversee all opening and lock up procedures for all the buildings on the premises
Inspect and test all security systems, gates, remotes and applications to ensure that everything is in working order
Ensure that all necessary spare keys are available and that all key boxes contain the necessary duplicate keys
Ensure that keys are always accessible to the authorised staff as and when required

Staff Management and Supervision:

Draft, implement, and manage all:

Staff Schedules
Task lists and chores
Attendance
Staff Supervision
Report any HR and/or disciplinary issues to management
Inform management of any training needs/requirements
Hold daily morning meetings for allocation of work
Hold daily afternoon handover meetings
Mentoring and training of all staff, volunteers, interns etc

Administration:

Maintain a practical and up to date e information (filing and documentation) and record keeping system
Manage and keep up to date all dog information files, medical records and incident forms
Manage all stock management processes (including food and supplies stock sheets, equipment registers)
Ensure all information boards are populated and updated daily
Compile daily morning meeting agenda
Complete daily handover processes and documents
Ensure that all necessary information required for care of the dogs is communicated to the necessary staff. (Ensure that there are records to prove information was communicated)
Send updates, incident reports and medical/veterinary care interventions to management
Procurement and Purchasing

Purchasing of all:

Dog food stock requirements
Medications, treatments and bathing products
Supplies required for running of sanctuary
Equipment required for optimal running of the Dog Sanctuary
Negotiate prices with service providers and resource suppliers, wherever possible
Source donations of dog care needs, whenever possible

Protocols, Policies, and Procedures:

Assist with drafting of all necessary policies, procedures, and protocols related to the Dog Sanctuary
Ensure that all relevant staff involved with the Dog Sanctuary are informed of, trained on and adhere to policies, procedures, and protocols
Communicate any recommendations for additions and/or amendments to the policies, procedures and protocols, to management (In writing)

Excellent English written and oral communication skills
Excellent Computer Proficiency
Must have a valid driver’s license and a minimum 5 years of driving experience
Must be familiar with Cape Town and surrounding areas
Must be familiar with other like-minded organizations within the Cape Town Area
Must have own to transport to and from Philadelphia Farm
MUST LOVE DOGS

Work Schedule requirement:

You will be required to work on a shift schedule
Alternate weekend work is required
Standby duty is required (based on shift schedules)
Overnight stays may be required – Overnight accommodation will be provided as and when needed

A competitive market-related salary will be offered based on qualifications and experience. Shortlisted applicants will be expected to undergo a panel interview and will be required to undergo a practical training assessment.
