A company operating in the travel and tourism industry is looking to employ an Office Assistant to join their team at their office in Somerset West. The role involves administrative assistance encompassing travel-related tasks and personal support to the travel director. Tasks include following up on client payments, contacting clients for passport-related matters, and managing group booking payments. Suitable candidates would need to have a degree or diploma in tourism, administration or similar. Prior travel experience is not mandatory and training will be provided.
Responsibilities:
- Collaborate with the travel director to provide administrative support in managing various tasks within the travel and tourism sector.
- Follow up with clients to ensure timely and accurate processing of payments for travel bookings, maintaining financial records and documentation.
- Contact clients to facilitate passport and visa-related requirements, ensuring compliance with regulations and deadlines.
- Manage group booking payments, working closely with clients to ensure payments are collected as per agreed terms.
- Assist in the coordination of travel itineraries, bookings, and reservations as needed.
- Maintain accurate and organised records of client information, travel documents, and financial transactions.
- Communicate professionally and efficiently with clients, partners, and suppliers via email, phone, and in-person interactions.
- Contribute to maintaining the office environment by managing supplies, filing, and maintaining a neat and organised workspace.
- Assist in various administrative tasks, including data entry, document preparation, and calendar management.
- Adhere to company policies, guidelines, and standards while maintaining confidentiality in handling sensitive information.
Requirements:
- Degree or diploma in tourism, administration or similar qualification
- Excellent verbal and written communication in English
- No prior travel experience needed
- Previous experience in a similar role is not mandatory but can be beneficial
- Attention to detail
- Must be good at working under pressure and multitasking
- Social media skills will be advantageous
- Proficient in Microsoft Excel
