Duties include the following, but not limited to:

Answer incoming telephone calls in a professional and courteous manner and assist the owner/employee/colleague/party members with information that is being requested and/or determine the purpose of the call and transfer to the relevant department
Greet visitors/guests/members/other party members professionally, determining the nature and purpose of their request either telephonically or in person at the respective office
Forward requested documents to the relevant party either via fax or e-mail
Forward any queries and/or complaints to the relevant staff and departments
Collect, sort, prepare correspondence, mail and messages and sort captured documents for the filing department to file accordingly
Data capture all forms, amendments, registration documents and any other documentation on the SAP system as required and requested
Receive printing, fax sheets, mail, and other documents and capture the information on the system
To maintain high levels of confidentiality
Assist visitors in filling out forms either in person or telephonically and request that it be forwarded to the office so that the relevant changes can be captured on the system
Maintain a report of the monthly capturing that is being done for the record-keeping and monitoring purposes
Provide the Manager monthly with the party information that is being captured so that this can be forwarded to the relevant party for record-keeping purposes
Ad hoc basic clerical duties, such as faxing, printing, photocopying, filing, and admin
Assist with sending out returns monthly on ad hoc basis
Ad hoc assistance with relieving switchboard and the receptionist
Reporting to the Administration Manager

Requirements:

Grade 12
2 Years’ related experience in an office environment and/or an administration or data capturing diploma will be advantageous
Good command of the English language
Excellent typing skills with speed and accuracy
Ability to enter data accurately and check and correct errors
Ability to prioritize tasks according to importance in a fast-paced environment
Must be proficient in handling office equipment including laptops, printers, photocopy machines, fax machines, etc
Basic knowledge of MS Office, specifically MS Word and Excel
Above average knowledge of SAP and applications used within Council

Salary: R8 700, Pension Fund
