WHO YOU ARE:
Your qualifications and experience include:
Matric / Finance/HR / VIP Premier or Sage 300 People
1-2 years’ experience as a Payroll Administrator /Assistant
WHAT YOU’LL DO:
Administration
Registering all employees via e-filling for tax numbers
Completing the checklist for all new employee paperwork
Completing all terminations only with relevant paperwork
Ensuring that any money owed to the company (Advances/Loans deductions) have the relevant paperwork (i.e. AOD) and that is signed for
Ensuring that all increases/ adjustments are signed for and filed
Creating files for all new employees.
Maintaining a high level of administration. All payroll documentation needs to be saved as a soft and hard copy
Completing the quarterly stats for relevant companies
Payroll
Only rolling over to next payroll month if all payments, reporting are done
Ensuring that all payroll information is received by the 20th of each month
Uploading payroll information during the course of the month
Ensuring that the Instant money spreadsheets are updated with the NETT amounts rounded off to the nearest R10, as well as the new or changed cell phone numbers
Ensuring that the maximum Instant money payments per day per employee
Start making first batch payments on the second last working day of the month
Ensuring that each batch is named 100% correctly for finance and audit purposes
Ensuring that each batch is uploaded every day. Some payments could lead to 8 batches, therefore it is important to keep track and make sure all payments are made
Releasing all payslips on the second last working day of the month on to the ESS system
Linking each new employee to a job profile and reports to a manager and creating login details for ESS.
Updating and maintaining System with regards to all terminated and new employees
Reporting
Providing Finance with Laptop deductions reports as well as advances and loans reports.
Sending the Emp201 reports on a monthly basis to finance.
Submitting all UIF declarations electronically to the Department of Labour before the 3rd of each month
Sending medical aid reports to Finance Department for finance purposes
Sending General Ledger and all related reports for each company to Finance before the last working day of each month
Assisting finance in any general reporting. There will be set required reporting spreadsheets that needs to be updated.
Ensuring that you clearly understand what is required
Conducting year-end as well as mid-year tax runs submissions
