Personal Assistant (#27803) at MomentumMetropolitan
Provide an effective and efficient administrative, secretarial and operational personal assistant function to two executive members within the Momentum Investments business unit.
RESPONSIBILITIES AND WORK OUTPUTS
Supporting diary management activities in order to effectively schedule appointments.
Ensure relevant meeting rooms are booked; and that the equipment is fully functional before meetings take place.
Ensure diary management includes time booked for strategic thinking and planning, for the executive.
Arranging detailed travel arrangements and compiling all the relevant documentation for travel-related meetings for both the executive and their team.
Pro-actively screening incoming calls, correspondence and responding independently where possible.
Co-coordinating all the components (logistics, catering etc.) of events, meetings and functions within budget and specifications.
Providing administrative support (agenda, minutes, action plans etc.) for the preparation and successful execution of meetings and within defined time frames.
Supporting the flow of information within the executive’s offices, ensuring that matters requiring their personal attention are handled speedily.
Accurately escalating client complaints and queries to the relevant department.
Ensuring files are kept in order and easily accessible.
Attending to ad hoc personal matters.
Maintaining high levels of professionalism at all times.
Ensuring confidentiality in the executive office is maintained.
Managing expense claims and related matters, for both the executive and their team.

EXPERIENCE AND QUALIFICATIONS
Secretarial Diploma or similar.
3-6 Years’ secretarial experience.
Fully computer literate on all relevant software packages.
The above-mentioned position is currently available in the Momentum Investments business unit based at our office in Centurion.
