Print IFFMAN sample queue requests and prepare SOH items for ship to customer within 24 hours
MTO samples to be prepared within 5 working days
Update IFFMAN sample queue
Plan and prepare spray-dries for submission to tollers
Co-ordinate first time makes – samples through the respective creative team personnel, conduct repack and stocks for sample lab
Conduct QC analysis on samples and prepare relevant certificates of analysis to submit with sample
Complete monthly stock-take on samples, ensure Best before dates are maintained
Order consumables and packaging to replenish existing stocks
Manage sample lab queue on a daily basis, report these in Open orders meeting everyday
Once sample lab is on SAP, proceed as indicated below:-
Prepare for daily ZOOGN report and communicate on the priorities for the day to the team, enter LOR (Late Order Reason) codes for any potential lates, these both in favor and against the Sample Department. Report back on lates at the end of each day to QC manager
Check and run, action ZSOD report daily.
Co-ordinate with planner to Release work and print shop floor papers.
Ensure that the LFC (Local Flavour Collection) is maintained at 98%.
Monitor measure and report on departmental KPI’s daily.
Create delivery notes and shop floor papers for the samples and prioritise the urgent ones.
communicate target dates to the agreed lead times and delays based on raw material availability using ZPRO and COR8.
Using CO24 and ME57 check SAP for stocks maintaining records daily using a spreadsheet template. Record location details & the volume required on the pick sheet for Isando warehouse (ready for booking onto SAP stock to fill sample tasks by Sample Lab Technicians and order from either affiliates or GP managing and tracking via excel spreadsheet.
Cancel tasks if entered on wrong queue and communicate to sample requestor.
Investigates internal SAP tasks from outside of our region if the flavors aren’t selling or readily available.
Maintain notes in SAP on tasks re: progress/actions taken. Enter comments via ZSOO which transmit back to IFFMAN for Commercial.
Manage sample lab email inbox responding to enquiries within 24 hours.
Follow up on any queries regarding status of tasks, shipping delays and provide additional documentation /information required either by customer or customs.
Responsibility to move all orders that cannot be shipped that day due to no stock at Q or still being made to be actioned before the end of the PGI working day
“KPI’s to be updated and posted to Sampling Sharepoint site daily.
Flexibility for reasonable changes to job requirements and any other agreed terms and conditions of employment. (As per Contract, not less than 1 months’ notice)
Required Skills
Required Experience:
Good educational background.
Experience in food industry.
Preferred Requirements:
Needs to be highly motivated. Flexible, approachable and organized.
Good computer skills.
SAP competent.
IATA trained would be an advantage
