Role Purpose:
The successful candidate will be required to perform general shipping clerk duties and other office tasks. The loading and checking of costs related to inbound shipments will form a significant part of the job. The incumbent will report to the Shipping Supervisor and will be based at Head Office, Goodwood. Alert Engine Parts is a division of Motus Aftermarket Parts.
Duties & Responsibilities:
(Including, but not limited to)
1. Shipping meetings
a. Attend weekly meeting with shipping supervisor
2. Processes
a. Receive suppliers invoice and bill of lading from source (supplier, agent or buying agent).
b. Capture shipments accurately into internal (AUTOMAN) product costing system
c. Email clearing documents (clearing instruction, copy of the bill of lading and copy of suppliers invoice) to clearing agent the same day of receiving documents.
d. Timeously email work documents confirming stock costing details to Alert branches (or National Warehouse) that receive the costed stock items. Work documents include Cover sheet, copy of
bill and suppliers’ invoices with cross-reference codes.
e. Capture shipments the same day, daily and weekly updates into logbook
f. Ensure filing is up to date and done correctly
g. Send original bills the same day received to the clearing agent.
h. Save all communication/emails relating to filing on share drive under file number
3. Finance
a. Ensure all updated files (letters of credit and FBC’s are submitted to bank by the end of every week
b. Ensure all TT payments are couriered to the bank at least one
week prior to payment and ensure a copy of the payment is made and attached in the inside cover of the file.
c. Compiling cost request
4. Compile reports and documents
a. Ensure the logbook is updated daily and accurately maintained.
5. Communication and problem solving
a. Communicate and monitor and queries with foreign suppliers
b. Communicate outstanding queries to supervisor daily

Qualifications & Experience:
Grade 12 + (Mathematics and/or Accounting)
Solid working knowledge of Microsoft Office
Proficient keyboard skills including accuracy, an enquiring mind, a solid grasp of arithmetic and comfortable with numbers.
Preferably some administrative experience
Previous exposure to the shipping function is not a requirement but would be an advantage
