Job Description (Roles and Responsibilities)

Main purpose of job:

To perform general office administration duties and to assist with the efficient running of the visa operation.
Data Checking Assessment Unit
To check, link and upload applications data recorded on the data base system used in the visa section, conducting mandatory CRS checks and local alerts, reporting on Service Level Agreement failures including non-core data errors and advising Entry Clearance Officers (ECOs) on core data errors by completing standard forms
Dispatch and Refusal Printing
To ensure all applications are dispatched using the in-house data system and that refusal notices are printed and prepared for dispatch within 24 hours
Correspondence Unit
To carry out Correspondence Unit duties
Verification Unit/Enrichment
To verify documents and conduct checks on applications as requested
Front Counter
To receive and process front counter applications from those eligible to apply directly at the British High Commission
Appeals
Recording of new appeals and determinations, respond to written and telephone enquiries
Visa writers
To issue visas as required by the visa department, ensuring that they are accurately completed and issued in line with the guidance and best practice maintaining accurate records where necessary
To ensure that integrity of the Visa writer function is as per best practice
Helping the visa department minimise abuse in the visa process
Updating databases when necessary
Helping in all areas of the visa department by taking on a variety of clerical roles as required
Workflow: Registry and Visa Application Forms, movement of work and work loads
Making sure that papers, files, visa applications and other documents move swiftly around the office, including researching, retrieving
Registry: to maintain and ensure visa application forms are stored against the best practice guidance
To file and retrieve application forms and supporting/correspondence linked to the application as requested
To move applications and correspondence around the section as required
To provide managers as required with details of work outstanding in the section
Other tasks
To perform other ad-hoc clerical duties connected with the Data Entry Operation’s duties, including, new and developing operating procedures
Essential qualifications, skills and experience
IT skills, well versed in Microsoft office package specifically excel
Display strong organisation, analytical and time management skills
Will take responsibility for the quality of their own work and work well within a team
Strong customer focus with attention to detail.
Numeracy
Matric or equivalent
English language – read, write and speak
Data capturing experience
Desirable qualifications, skills and experience
1 year office administration duties
Experience and exposure to data bases

Once you have successfully completed your probation the British High Commission will contribute 9% of your monthly salary to a Provident Fund

Additional information

Working patterns:

Conditioned hours are 36.5 hours net (not including lunch breaks)

Office operating hours are 07:00-1700 Monday to Thursday and This includes a 30 minute break for lunch. On Friday 07:00-16:00 no lunch break and the hours are 5.5)

Job-share is suitable. Flexible-working, within reason may also be suitable. Other departments within the visa operation are dependent on Data Entry completing their tasks before the next process can commence.
