SCOPE AND PURPOSE OF JOB

The function of this position is to acquire and maintain GUESTS by meeting and exceeding the GUEST’S expectations.

REQUIREMENT & EDUCATION

Qualified Health & Skin Care Therapist, confident to perform all Face & Body Treatments
Experience required of at least 2 years in a five-star Spa establishment.
Reading, writing and oral proficiency in the English language.
Thorough knowledge of Spa service, Spa Software and five-star hospitality environment

JOB DESCRIPTION OVERVIEW

Front Office Manager will lead the Spa Receptionist Team, and as is the first point of contact for the guest, in charge of welcoming all guests at the Spa. Making bookings for treatments and responding to all enquiries done either in person, over the phone or via email. Responsible for handling of payments for treatments and daily cash-up procedures and other basic administrative duties. Ensure all daily, weekly & monthly reports and recons pertaining to all transactions are accurate and timeously submitted to Head Office. Must have a thorough knowledge of the numerous modalities, possess a general understanding of services and be willing to train in the Spas specific treatment protocols. They must possess excellent communication skills to ascertain and provide solutions for all the guests needs. Front Office Manager must project enthusiasm and enjoy working in a multi-cultural environment and be a positive and self-motivated team player.

Welcome guests into the Spa, responding to all enquiries while observing set standards. Must have knowledge of all services and treatments available, including any special offers and promotions. Duties also include prioritizing workloads, ensuring all operational procedures are met and ensuring that standards of appearance codes of conduct are adhered to and implemented to the latter.

KEY DUTIES/RESPONSIBILITIES:

Operational expectations

Report for duty 15 minutes before your shift for daily treatment and/or admin preparations.
Adhere to company’s dress code, which include company-issued uniform, grey or black flat shoes (pumps) with rubber sole, full make-up and hair neatly tied back and off the collar if long.
Facial piercings are limited to one stud or small hoop earring per ear. No other facial piercings such as tongue, lip, nose or eyebrow piercings allowed
Be flexible to changes in Spa working Roster to support the operations of the Spa.
Attend regular staff meetings to keep up to date with Spa operations.
Monitor and adhere to all aspects of the Spa’s operation.
Actively promote the Spa treatments, services, retail, as well retail, programs and promotions and all discounts available.
Provide accurate, appropriate and immediate responses to all requests by guests.
Maintain a positive attitude and contribute towards a quality work environment.

Handle guests questions and concerns professionally and courteously.
Possess the ability to work without supervision.
Have complete knowledge and understanding of all services and homecare offered.
Uphold standards of hygiene and sanitation as per health and safety regulations.
Maintain Reception Area to a high level of professional, clean and aesthetically pleasing standards
Assist in all areas of the Spa operations as requested by management.
Communicate to management any occurrences involving staff or guest in the Spa that require attention.
Always ensure a warm friendly welcome to all clientele.
Monitor availability of treatments and staff to ensure punctual service as per the relevant skills of therapists
Organizing schedules to fully utilize time and profitability while ensuring that clients’ needs are prioritized
Assist Management Team with monthly staff rosters and scheduling
Handle Cash, Credit Card & Room Charge transactions and ensure that all dockets are signed as follows:
Room Charges are signed to the correct room and posted to the Hotel
Vouchers are valid based on expiration & valid voucher codes
Claiming 3rd party vouchers such as Health Spa Guide & Vitality Purple on the relevant portals
All payment recons for Cash, Card, Vouchers & Room charges match physical to Point of Sale

Ensure that all signed off documents are filed accordingly as per standard practice of Amani Spas business

Coordinate guest consultation records with their relevant therapist.
Ensure that all relevant spa staff receives correspondence of their daily schedules.
Adhering to agreed reporting system on a timely basis.
In charge of all billing procedures and the correct reconciliation of funds at the reception desk and at the close of every shift as well as at the end of the day’s work.
Completing daily opening procedures and checking lists per relevant area.
Scheduling reservations for guests and monitoring availability of treatment and staff to ensure punctual service as per the relevant skills of therapists.
Organizing schedules to fully utilise time and profitability while ensuring that clients’ needs are prioritized.
Promote the Spa facilities by doing spa tours and promoting the brand
Ensure all email correspondence is sent in a professional and timeously manner
Assist Spa Management with booking, co-ordinating and professional execution of Group Bookings and Corporates
